Payroll and personnel administration

Payroll starts before the salary calculation

A salary is the result of many events that happen before payroll is run — hiring, a change in remuneration or working time, leave, sick leave, a bonus, an additional employment relationship, or termination. We organise these events as one timely and traceable process.

Who it is for

For employers who want a clear process for remuneration, employment relations, documentation, and deadlines.

The service is suitable for small teams as well as companies where employee movement, different forms of remuneration, or multiple types of employment relationship require continuous organisation.

What we take responsibility for

Remuneration and statutory charges

  • Monthly calculation of salaries and other remuneration
  • Social security and income tax calculations
  • Payslips, payroll summaries, and payment information

Employment relations

  • Hiring documents and employment contracts
  • Contract amendments and changes
  • Documents and procedures for termination

Absences and personnel records

  • Processing submitted information on leave, sick leave, and other absences
  • Maintenance of personnel records
  • Monitoring required documentation

Declarations and ongoing support

  • Mandatory declarations and reports
  • Management payroll reports
  • Support with ongoing payroll and employment matters
  • Communication with institutions within the engagement

What makes the process work

The employer is the first to know about an upcoming hire, change in remuneration, leave, bonus, or termination. Accurate information — and the time at which it reaches us — is therefore an essential part of the service.

We agree a calendar, responsible contacts, and an approval process so that calculations, documents, and deadlines can be managed reliably.

It is better to discuss a change in advance than to correct an event after it has taken place.

How we start working together

  1. We learn about the team structure, types of employment relationship, payroll cycle, and current documentation.

  2. We agree the scope, monthly calendar, responsibilities, and the process for submitting and approving information.

  3. When taking over an existing process, we receive the required data and documents and establish a clear starting point.

Questions employers ask us

What information is required when hiring a new employee?

The information should reach us before the person actually starts work. We confirm the position, remuneration, working hours, start date, and the required personal details and documents.

When should we tell you about a salary change?

Before the change takes effect. This allows us to review the required documents, deadlines, and impact on the calculation instead of correcting a completed process afterwards.

Self-insurance, remuneration for personal labour, or a management agreement?

The decision should not be based solely on which option produces lower social security contributions. We consider the person’s role, the legal basis of their work, their remuneration, and how they actually participate in the business.

How is insurance handled where a person has more than one basis for coverage?

We review each basis, the applicable order, and the total insurable income for the relevant month. The specific calculation depends on current information for all relationships.
